Job Summary:
Lead Corporate Recruiter Chanteal Heard is recruiting this position.
As a Travel Coordinator, you’ll play a key role in managing travel arrangements, overseeing RFPs, and tracking travel expenses for training and activation projects. You will also assist with internal travel needs, ensuring smooth journeys for everyone involved.
Requirements:
· Plan and Coordinate Travel: Handle all the details, from booking flights, hotels and car rentals as well as managing charter ground logistics for up to 200 travelers.
· Close, frequent collaboration with company's Travel Agency of Record regarding flight management/travel logistics.
Travel planning and management: Scout out the best rates and accommodations by comparing prices, availability, and quality of travel services.
· Negotiate with Vendors: Work directly with travel agencies and vendors to secure favorable terms for corporate travel.
· Monitor Expenses: Track and reconcile travel costs, keeping everything aligned with budgets.
· Problem-Solve On the Go: Assist team members with unexpected travel hiccups, such as flight cancellations or missed connections.
-Must be available for occasional weekend and after hours travel support.
· Reconcile Travel Receipts: Ensure accurate collection and review of travel receipts to support proper billing and expense reporting.
· Travel: Be prepared to travel up to 25% of the time as part of your role as well as occasional weekend and after hours travel support.
Qualifications
· At least three years of hands-on experience as a corporate travel coordinator.
· Strong organizational and multitasking abilities—you thrive in fast-paced environments and know how to prioritize.
-Concur Travel Software experience. Understanding of GDS systems.
-Experience with group travel or tradeshow logistics is very helpful.
· Excellent attention to detail, ensuring travel arrangements are accurate and well-documented.
· Proven experience in corporate travel management, whether as a Travel Coordinator, Travel Agent, or in a similar role.
· Proficient in using Microsoft Office Suite and other relevant tools.
· Familiarity with budgeting and expense management processes.
· Exceptional customer service skills—you’re approachable, resourceful, and solutions-oriented.
· Independence and flexibility—you can work with minimal supervision and adapt quickly to changing plans.
