Corporate Contract Coordinator - Valhalla, NY
12-month contract
Hybrid: 2 days onsite, 3 days remote
Local candidates only.
Job Summary: The Corp Contract Coordinator is responsible for initiating and following through on the several steps involved in processing contracts for all departments. This individual will engage with key internal departments such as Purchasing, Finance, Accounts Payable, and Legal Affairs.
Responsibilities:
- Provides training on contract processes.
- Works with department heads to identify needs for new contracts or contract amendments.
- Works closely with vendors to execute new contracts or contract amendments.
- Works with the office of Legal Affairs to review contract terms and conditions.
- Communicates contract fees and payment schedules to the Accounts Payable team.
- Prepares agreements that are requested by departments for service, trial, purchase, consignment and lease.
- Ensures that contracts are prepared in accordance with procurement policy.
- Provides training and guidance to departments on procurement policy compliance.
- Maintains an active database of contracts utilizing Microsoft Access, Excel, McKesson, and GHX programs.
- Enters contract pricing information into multiple computer programs in order to ensure pricing accuracy for purchases.
- Manages monthly contract status report.
- Works with department heads to standardize contracts across the facility.
- Assists with preparation of Minority and Women-Owned Business Enterprise ("MWBE") and Service-Disabled Veteran-Owned Business ("SDVOB") Annual Goal Plans consisting of reviewing operating budget and identifying sub-accounts and contracts that should be included, excluded or exempt from goal plans.
- Prepares and submits monthly and quarterly MWBE and SDVOB compliance reports to the Empire State Development Office.
- Works with department heads to identify MWBE and SDVOB opportunities.
- May perform other incidental tasks, as needed.
Qualifications/Requirements:
Experience: 2-4 years of satisfactory full-time professional experience in contract management or procurement of goods, services or construction, required.
Education: High School Diploma, required. Associate’s degree, preferred.
Other: Training in McKesson Supply Chain Management (MSCM) preferred. Strong analytical and computer skills, including proficiency using Microsoft Word and Excel queries and reports. Excellent verbal and written communication skills for interacting with various levels of the organization. Strong ability to work quickly and accurately while handling competing priorities. Strong ability to follow up on outstanding requests.
