Position Summary
Our healthcare client located in Boston, MA is seeking a highly skilled and proactive Messaging & Collaboration Systems Administrator to support and optimize our Enterprise Communication and Collaboration platforms. This role spans both on-premises and cloud environments, including Exchange Hybrid SE, SharePoint 2019, Exchange Online, SharePoint Online, OneDrive, Microsoft Teams, and Proofpoint Email Security.
The ideal candidate will possess deep technical expertise, a strong understanding of governance and compliance, and a commitment to user enablement and operational excellence. Additional experience with Copilot governance and integration, Entra ID administration or conceptual knowledge, and the ability to deliver high-quality support to internal users, ensuring seamless operation of endpoint devices including macOS is highly desirable.
This role is focused on the M365 platform administration, client support, and operational execution across Messaging and Collaboration Services.
Key Responsibilities
Platform Administration
- Administer Exchange Hybrid SE and Exchange Online environments, including mail flow, mailbox migrations, patching, and client access support.
- Manage Proofpoint Email Security systems, including TAP/TRAP, encryption, spam filtering, and email authentication protocols (SPF, DKIM, DMARC).
- Administer SharePoint 2019 and SharePoint Online, including site creation, permissions, content lifecycle, and search indexing.
- Configure and support Microsoft Teams, OneDrive for Business, and Office Online Server, ensuring secure collaboration and user access.
- Oversee Microsoft Viva platform modules (Connections, Engage, Learning, Insights) and Microsoft Search administration.
- Support Power Platform governance (Power Automate, Power BI, Power Apps, Power Pages), including environment strategy, DLP policies.
- Manage Power BI service administration, including workspace strategy, certified datasets, row-level security, and usage monitoring.
- Assist with Copilot governance and integration across M365 workloads to ensure secure and compliant AI adoption.
Client Support & Enablement
- Provide Tier 2/3 support for Outlook, Teams, OneDrive, and Office 365 client applications.
- Troubleshoot sync issues, access problems, and MFA/Conditional Access configurations.
- Mentor users and junior staff in Power Apps and Power Automate development.
- Deliver training, documentation, and presentations to technical and non-technical audiences.
- Serve as Jira responder for messaging and collaboration-related tickets, ensuring timely resolution and escalation.
- Deliver high-quality support to internal users, ensuring seamless operation of endpoint devices, including macOS and other supported platforms.
Governance & Compliance
- Implement and monitor retention policies, sensitivity labels, and audit logging across M365 workloads.
- Coordinate with Legal for eDiscovery and Litigation Hold requests.
- Enforce governance standards for SharePoint content management, Teams provisioning, and external sharing.
- Maintain backup and disaster recovery plans for SharePoint and Exchange environments.
- Ensure compliance with HIPAA, GDPR, and internal data protection policies.
Architecture & Deployment
- Lead SharePoint and Teams architecture planning, including taxonomy, navigation, and hub site design.
- Manage deployment of SharePoint solutions and customizations, including SPFx, Power Platform apps, and third-party tools.
- Collaborate with infrastructure and identity teams on hybrid integrations, licensing, and platform resiliency.
- Work closely with identity teams to support Entra ID administration or provide conceptual guidance for identity governance and security.
Required Qualifications
- Bachelor’s degree in Information Technology, Computer Science, or related field, or equivalent experience.
- 5+ years of experience administering Microsoft Exchange (on-prem and Exchange Online).
- 3+ years of experience supporting Microsoft 365 collaboration platforms (SharePoint, Teams, OneDrive).
- Proficiency in PowerShell scripting for automation and reporting.
- Experience with Proofpoint email security systems and Microsoft 365 compliance tools.
- Strong understanding of client access controls, including Conditional Access and MFA.
- Demonstrated ability to work with Legal teams on eDiscovery and Litigation Hold requests.
- Excellent communication and presentation skills; comfortable speaking to both technical and non-technical audiences.
- Ability to work effectively in a team environment and collaborate across departments.
- Experience with Copilot governance and integration, Entra ID administration or conceptual knowledge, and endpoint/macOS device support is a plus.
