Our East Coast Healthcare client is seeking an Assistant Payroll Manager, a key leader within the Payroll Department, responsible for overseeing day-to-day payroll operations across a multi-entity healthcare system. This role provides operational leadership, ensures payroll accuracy and compliance, and drives process improvements through workflow optimization and automation initiatives. The ideal candidate is an experienced payroll professional with strong leadership skills, technical expertise, and a commitment to operational excellence and exceptional internal customer service. This 12+ month contract role is 100% onsite.
Key Responsibilities
- Oversee weekly and biweekly payroll processing across multiple departments, facilities, and entities.
- Ensure accurate and timely processing of employee earnings, deductions, taxes, garnishments, PTO accruals, retroactive adjustments, and benefits deductions.
- Review and approve payroll audits, reconciliations, and exception reports prior to payroll transmission.
- Serve as a subject matter expert on payroll policies, procedures, and regulatory compliance requirements.
- Respond to and resolve employee inquiries related to pay, taxes, deductions, and payroll policies.
- Support payroll team operations through workload management, prioritization, and issue escalation.
- Maintain the confidentiality and integrity of payroll and employee compensation data.
- Lead payroll process improvement initiatives to enhance efficiency, accuracy, and scalability.
- Identify and implement automation opportunities within payroll, timekeeping, reporting, and reconciliation processes.
- Partner with HR, Finance, IT, and HRIS teams on system enhancements, upgrades, integrations, and testing.
- Develop and maintain standardized payroll workflows, controls, and documentation.
- Create payroll metrics, dashboards, reports, and analytics to support leadership decision-making.
- Ensure compliance with federal, state, and local payroll regulations, wage and hour laws, and organizational policies.
- Support payroll audits, tax filings, year-end activities, and W-2 reconciliation processes.
Required Experience
- Minimum of 5 years of progressive payroll experience, including leadership or supervisory responsibilities.
- Experience managing payroll operations in a complex, multi-entity environment preferred.
- Strong knowledge of payroll regulations, tax requirements, and compliance standards.
- Demonstrated experience driving process improvements and implementing payroll automation initiatives.
- Excellent analytical, organizational, and problem-solving skills.
- Strong communication and interpersonal skills with the ability to collaborate across departments.
